Service & Parts Coordinator
Job Summary
Reporting to the Shop Supervisor, the Service & Parts Coordinator is responsible for coordinating service schedules, managing parts procurement and inventory, and ensuring that maintenance and repair work-orders are completed accurately, and on time. The ideal candidate is highly organized, detail-oriented, and experienced in mechanical service environments.
Key Responsibilities
Open, track, and close work orders; ensure accurate documentation
Open, track, and close purchase orders; ensure accurate documentation
Order parts, supplies, and materials required for repairs and preventative maintenance
Maintain accurate parts inventory levels; track usage and reorder as needed
Communicate with vendors and suppliers to source parts, obtain pricing, and manage delivery timelines
Review Min/ Max settings in MIR (shop software) on frequently used Parts
Maintain a Parts inventory so assets are repaired with little downtime without overstocking dept.
Verify parts accuracy (cycle counts) and resolve discrepancies, returns & cores
Maintain maintenance records, service logs, and warranty documentation
Assist with cost control by comparing pricing, tracking expenses, and minimizing downtime
Support shop supervisor with reporting, scheduling, and operational coordination
Coordinate and schedule maintenance and repair work Operations
Follow and enforce safety policies and shop procedures
Requirements
3 years min experience in a Truck/ Trailer repair facility working on the floor or in the Parts dept.
Knowledge of Microsoft Office, Outlook, and base knowledge of Excel
Required Skills
Ability to negotiate with vendors/ suppliers
Must be detail oriented and focused to source required Parts/ Materials in a timely cost-productive manner
