ABOUT THE ROLE
ATS is currently seeking one (1) Client Services Coordinator to join our growing team. The Client Services Coordinator position will support our multidisciplinary team by owning day-to-day coordination of the front office, client scheduling, therapist calendar management, and intake support.
This position is a central coordination position that ensures families feel welcomed and supported; therapists’ schedules are optimized, and clinic operations run smoothly and efficiently.

Key Responsibilities
- Optimize all front-office operations, ensuring efficiency, professionalism, and strong customer service standards
- Serve as the primary point of contact for clients and caregivers via phone, email, and online platforms.
- Provide a welcoming, skilled, and culturally respectful client experience.
- Coordinate intake processes, including inquiries, service matching, consent documentation, and onboarding.
- Maintain accurate and confidential client records in scheduling and EMR systems (PHIPA-compliant).
- Respond to client questions regarding services, scheduling, billing, and policies.
- Manage clinic flow, room bookings, and front office organization.
- Track office supplies and support reception operations.
- Support client feedback initiatives and identify opportunities to improve client experience.
- Identify process improvement opportunities to enhance efficiency and client experience.
- Maintain and update internal systems, trackers and dashboards and adjust schedules in response to cancellations or changes.
- Liaise with finance team, funders, and families regarding invoicing, authorizations, and required documentation
- Support service tracking related to contract or funded programs.
- Maintain a safe and organized work environment by keeping the office clean, tidy, and reflective of ATS's quality care.
Qualifications
THE “MUST HAVES”
- Diploma or degree in Office Administration (Health preferred), Social Services, Psychology, or a related field.
- Minimum 3 years of experience in a client-facing or clinical/healthcare administrative role.
- Experience supporting a multidisciplinary team in healthcare, therapy, or community services.
- Strong organizational, multitasking, and time management skills.
- Excellent verbal and written communication skills.
- Strong customer service orientation and professionalism
- Knowledge of privacy legislation (PHIPA/PIPEDA) and confidentiality practices.
THE “NICE TO HAVES”
- Start as soon as possible.
- Familiarity with EMR systems (Jane, Connecteam, etc.).
- Knowledgeof First Nations, Inuit and Métis people, history, intergenerational trauma, culture, health priorities and social issues impacting mental health. Self-education is encouraged and ATS provides training opportunities regularly.
- Possess the flexibility and time management skills necessary to manage an ever-changing caseload.
- Flexibility, problem solving skills, creativity, and organizational/time management skills.
- Strong computer skills and familiarity with video conference software (e.g., Zoom), Canva and the Microsoft Office ecosystem (e.g., TEAMS, SharePoint, Outlook, Word, Excel, PowerPoint).
Working Conditions
- Primarily office-based work involving prolonged periods of sitting, computer use, and telephone communication.
- Frequent walking within the clinic to support front office operations, client flow, and room coordination.
- Flexibility to work occasional early mornings and evenings as required (e.g 8:15am to 7:15 pm)
