Regional Community Administrator
The Opportunity
The Regional Community Administrator will report to the Regional Property Manager and be responsible for the day‑to‑day administration of the properties in conjunction with other site administrators.
What You Will Do
Recording receipts, making bank deposits, and monitoring resident ledgers and reporting on accounts receivable weekly
Managing rental arrears; preparing Termination Notices, Rent Increase Notices, and other notices when applicable and in compliance with the Residential Tenancies Act.
Administering move‑in deposits and move‑out balances.
Maintain all resident information received in accordance with Privacy rules and regulations.
Maintaining valuable resident relations, handling and documenting resident complaints and any emergencies in the building which occur during, over and above office hours
Issue and deliver notices such as: violation notice, Notice to End Tenancy, Notice to Enter, etc. Notice of Renewals by an approved method of service.
Code accounts payable invoices
Further ensure resident satisfaction and service delivery through prompt service, ongoing communication and follow up (including administration of resident surveys, as required)
Respond to leasing inquiries in order to secure an appointment to view the property
Maintain a comprehensive knowledge of product, including availability of suite types and layouts, common areas and amenities of the building, surrounding neighborhood and value added services provided
Carry out other duties and/or procedures related to the marketing, rental and administration of suites as may be assigned from time to time
Overseeing office equipment repairs and ordering office supplies
Ensuring office is and kept organized and clean
Perform the leasing function as required if the Leasing Representative is not available.
Assist with all office functions as needed
Provide relief coverage of key office duties during absences
Prepares reports – Delinquency Report, Pre‑Authorized Reports, and other reports as required
Embrace and pro‑actively support Bentall Kennedy’s culture of environmental sustainability, and corporate and social responsibility
Other related duties as required. Such duties may include lifting.
Who You Are
Education: Post‑secondary courses in property management.
Experience: 1‑2 years of experience in residential property management combined with understanding of basic bookkeeping practices and a strong commitment to client service.
Relationship Skills: Ability to communicate effectively and professionally, both oral and written with owners, residents and team members; ability to develop and sustain cooperative working relationships; skilled phone manner; mature and self‑motivated team player with good conflict‑resolution skills; committed to personal growth and integrity; ability to exercise confidentiality.
Organizational/Multi‑Task Skills: Ability to allocate one’s time effectively and manage tight deadlines; ability to work under pressure and achieve quality results; ability to handle multiple demands and competing priorities, and adapt to new ideas and constant changes; results oriented, detail oriented and accurate.
Decision Making Skills: Ability to resolve problems using facts and sound reasoning; ability to achieve goals using a strategic approach; proven innovation with a willingness to manage and adapt to change.
Computer Skills: Intermediate skills in Microsoft Office: MS Word, Excel, and Outlook; knowledge of Yardi an asset; minimum typing speed of 40 WPM.
Availability: Flexibility in hours to ensure availability for last day of each month and the first two to three days of the beginning of the month in order to
