JOB TITLE: Facilities and Procurement, Manager POSITION STATUS: 12 month Contract (Temporary Assignment) DEPARTMENT: Finance LOCATION: Montreal We are Air Canada Vacations, a company dedicated to creating unforgettable travel experiences for Canadians. This role will oversee all facilities management and procurement activities within the office. The incumbent ensures efficient processes in facilities, cost‑effective supplier management, and smooth facility operations to support business objectives. What You'll Be Doing Oversee facility operations, space planning, and inventory management Work effectively with designated professionals—Architects, Designers, Engineers & General Contractors—for the design and implementation of projects Resolve day‑to‑day maintenance issues with landlords, third parties, employee access cards, ID cards, parking, etc. Ensure office spaces are used efficiently and that users have the working conditions they need to carry out their daily tasks Collaborate closely with HR and Finance On major projects, retain consultants and contractors as required, using appropriate contract documents and managing external contractors/consultants during the project phase to deliver projects on schedule and within budget Overlook Project Budgets and Track Invoicing Building & Fostering Long‑Term Relationships with Existing & Potential Suppliers Internal Memos & Coordination Aligning with Construction Work on Live Projects Participate with AC CRE on creating RFPs and overseeing competitive bidding cycles. Create and manage the Facilities department’s budget (CAPEX & OPEX), including operational purchases and the reconciliation of all costs associated with these cost centres. Prepare executive summaries for managerial approval and further presentation to executives and stakeholders. Create and send corporate‑wide communications from the Facilities email accounts, managing internal processes and employee interactions associated with the Facilities department. Manage Emergency Procedures, workplace hazards and OHS issues to ensure a safety‑first approach is implemented in our offices. Establish requirements, priorities and negotiate with third parties to critically evaluate the best solutions for Air Canada Vacations. Work with third parties and internal stakeholders for purchases and service agreements. Coordinate corporate events and logistics. What You Bring to the Team Minimum of 3 to 5 years’ experience in a facilities‑related field Experience in space planning Knowledge of HVAC and other building systems Knowledge of quoting, purchasing, contracts, rentals and options when needed Strong knowledge of facilities maintenance and real estate Bachelor’s degree in business administration and/or Facilities Management or a related field Strong negotiation skills Ability to build and maintain strong working relationships Able to take on travel, on occasion Excellent judgement, initiative and interpersonal skills Detail oriented Fluency in English and French Knowledge of health and safety regulations Advantages for Permanent, Full‑Time Employees Our team loves to travel, and we have one of the most generous employee travel programs in the industry.
