We are currently looking to fill a full-time, permanent position for an Executive Assistant at our Leamington ON facility.
What You'll Do:
- Proactively manage EVP’s calendar, daily priorities, and action plans.
- Coordinate meetings, prepare agendas and materials, record minutes, and track follow-ups.
- Monitor, filter, and respond to emails, calls, and correspondence.
- Prepare documents for review, approval, and signature.
- Arrange travel, accommodations, and detailed itineraries for business activities and contractors.
- Prepare and submit expense reports, process invoices, and track payments.
- Support leadership meetings, company events, and cross-functional coordination.
- Co-chair and lead the social committee.
- Greet and coordinate visitors, vendors, and stakeholders as required.
- Maintain strict confidentiality, professionalism, and sound judgment at all times.
- Support financial analysis including forecasting, ROI, scenario modeling, tracking and payback analysis.
- Contribute to long-term operational planning initiatives.
- Maintain KPIs, dashboards, and monthly reporting packages for leadership.
- Prepare professional presentations and analytical summaries for leadership review.
- Coordinate project timelines, track deliverables, and escalate risks where necessary.
- Support cross-functional initiatives, documentation development, and compliance requirements
- Must comply with all Health and Safety, Food Safety, Bio Security, and Nature Fresh Policies and Procedures.

What You Bring:
- Advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and experience with Power BI or other reporting tools is an asset.
- Strong analytical skills with the ability to interpret, analyze, and clearly present data.
- Excellent written, verbal, and presentation communication skills, with the ability to engage effectively with internal teams and external stakeholders.
- Strong organizational and project coordination skills, with the ability to manage multiple priorities in a fast-paced environment.
- Demonstrated problem-solving abilities and a proactive, solutions-oriented mindset.
- Ability to collaborate effectively across multiple departments and levels, building strong relationships with growers, suppliers, and strategic partners.
- High degree of professionalism, discretion, confidentiality, accountability, and attention to detail.
- Experience in analysis, farm operations, business planning, or project coordination (or equivalent experience); greenhouse operations experience is an asset.
- Ability to initiate and follow through on tasks independently – strong self-starter who will take charge and provide support to executives in an effective manner.
- Valid driver's license and use of personal vehicle required.
- Must be available to work flexible hours, including evenings, weekends, and holidays, and respond to emails and calls as needed.
- A valid passport and ability to travel locally and internationally is an asset.
What To Expect:
- Primarily office-based work in a professional workplace.
- Collaborates effectively both independently and as part of a diverse team of colleagues from various backgrounds and cultures.
- Regularly communicates with clients, colleagues, and senior management via email and phone during business hours.
- The Executive Assistant is required to report to work from Monday-Friday, 8:00am – 5:00pm with afterhours, weekends and holidays as needed.
- Balance of desk-based and on-the-move tasks, including periods of sitting, standing, and walking.
- Ability to perform routine physical activities such as bending, reaching, and twisting, with occasional lifting or moving of materials.
- Regular movement throughout the workplace, including frequent use of stairs and occasional use of elevators.
- Must be able to complete all physical requirements of the job with or without a reasonable accommodation.
