Administrative Coordinator - Insurance - Maternity Leave Coverage
COMPANY DESCRIPTION
The Rural Municipalities of Alberta (RMA) represents Alberta’s 69 counties and municipal districts as an independent association. Since 1909, the association has helped rural municipalities achieve strong, effective, local government. The RMA provides advocacy, insurance, and business services, including cooperative procurement through the Canoe Procurement Group of Canada.
RMA Insurance was incorporated in 1955 to provide Alberta municipal jurisdictions with access to reasonably priced and comprehensive insurance protection. Innate to the program is its ability to leverage its large insurance volumes, which increases its bargaining power with various insurance carriers. RMA Insurance has steadily expanded to include members such as local authorities, schools, seniors’ housing, and other non-profit organizations.
The RMA is seeking an Insurance Administrative Coordinator for a 1 year term position.
JOB DESCRIPTION
The RMA Insurance Administrative Coordinator will provide administrative, planning, and organizational support to the General Manager of Insurance and Manager of Administration. They will also and assist in meeting the organization’s operations and marketing plans’ objectives. In all cases, this position is expected to work in a team environment for dealing with issues, events and programs.
This is a full-time, maternity leave coverage term position . The position will be working directly from the RMA offices in Nisku, AB.

RESPONSIBILITIES
Administration
- Will assist in coordinating both joint and independent governance and administrative functions related to Genesis Reciprocal and RMA Insurance.
- Assists with the coordination, storage and archive of files and records.
- Arrange and coordinate meetings, including staff meetings, committee meetings, conferences, events, which includes preparing agendas, taking minutes, coordinating logistics, and ensuring all necessary materials are available.
- Managing and facilitating correspondence.
- Attending meetings as required, take minutes, and follow up on action items.
- Provide functional direction and guidance to other administrative support staff on any items related to the RMA Insurance leadership in accordance with established standards.
- Deals with inquiries from officials, partners, members, suppliers and other agencies.
- Fosters positive relationships by interacting with staff, board, and external stakeholders.
- Coordinate travel arrangements, including booking flights, accommodations, transportation and itineraries. Coordinates activities related to the team’s schedule; screen meeting requests, redirects requests where appropriate; and prioritizes meetings.
- Assists with annual insurance renewal
Marketing Coordination
- Supports Insurance marketing activity
- Work closely with Communication staff to ensure that the website is up to date
- Compiling and editing insurance content for the monthly Contact newsletter
- Make travel arrangements for RMA Insurance staff
- Coordinating tradeshow attendance for RMA Insurance
- Coordinating printed and promotional marketing materials
- Compiling content and advertising for the annual RiskPro
Events Planning
- Coordinates the annual RiskPro training and various other Insurance-related events
- Coordinates RMA Insurance Advisory Committee meetings.
- At the request of the Manager of Administration, participates in special projects i.e. assists with the organization of other meetings, conventions, conferences or social events
- Assist in coordinating Genesis AGM
Data
- Complete regular claims reporting for members or internal staff upon request
- Prepare aggregate erosion upon request
- Update and maintain member list and contact information through various means including CRM
The successful candidate will possess excellent customer service skills, be a strong team player, have attention to detail and maintain integrity in all dealings. They must be analytical, decisive and able to work independently while maintaining the parameters of assigned authority; utilizing company technology to track and expedite all transactions.
QUALIFICATIONS
- Post-secondary degree/diploma in business, marketing or a related discipline.
- Office experience (with experience in accounting functions).
- Insurance experience preferred
- High proficiency in MS Word, MS Excel, PowerPoint, Outlook, and Adobe Acrobat is essential.
- Excellent written, oral and listening skills, and exceptional organization and planning skills.
- Personable and able to build and maintain professional relationships.
- Aptitude for dealing with members and suppliers.
- Strong time management skills.
- Able to work with minimal supervision, self-motivated, and self-directed.
- Manages multiple priorities in a fast-paced and changing setting
