Winmar Ottawa Restoration is seeking a highly organized and detail-oriented Project Management Assistant (PMA) with experience in the Restoration industry to support our daily operations. This role is essential in providing administrative support for the office and assisting Project Managers with file management.
Key Responsibilities
Office Administration
- Maintain organized digital and physical filing systems for job files and documentation
- Schedule jobs, coordinate appointments, and support dispatching crews
- Support job costing and tracking project expenses
- Ensure accuracy of time cards and materials purchases
- Prepare reports, contracts, and correspondence as needed
Restoration & Job File Support
- Create and update job files in Xactanalysis and PSA
- Set up new claim files and record information across all file management and accounting systems
- Communicate with insurance adjusters and home owners regarding claims and documentation
- Track claim status and perform timely follow-ups to maintain set KPIs
- Ensure all documentation meets company and insurance standards
- Review files for accuracy and completeness prior to submission
- Manage authorizations, work orders, and job completions
- Verify that receipts and invoices are properly coded, approved, and ready for posting
- Assist with maintaining job files, including photos, documents, and notes
- Support documentation required for insurance claims and client records
- Communicate with technicians, project managers, and office staff to ensure smooth workflow
Qualifications & Skills
- Experience in restoration industry in a PMA role is preferred
- Proficiency in Xactanalysis and PSA is considered an asset
- Ability to make quick, informed decisions under pressure
- A collaborative, proactive approach to working with teams across departments
- Accountability to ensure the highest standards are maintained in every project
- Strong organizational skills to coordinate multiple tasks in high-stakes situations
- Critical thinking and a proactive, accountability-driven mindset
- Strong attention to detail, especially with financial and job documentation

REQUIREMENTS:
- Minimum of 3 years of experience with administrative tasks and responsibilities
- Post secondary education in Business or related education is preferred
- Excellent analytical skills and a strong accountability mindset
- Fluent in English (spoken and written), French is considered an asset.
- Positive communication, multi-tasking, organization, critical thinking, attention to detail and problem-solving skills
