ICR's Construction & Maintenance Division is expanding and we are searching for a Project Coordination. The Project Coordinator provides dedicated, hands-on field support to both the Maintenance and Construction/Renovations teams. This role reduces field-based demands on the Maintenance Manager and Construction Manager by completing in office assessments, coordinating installations, supporting technicians with technical and product expertise, and managing select construction and renovation projects in the field.
This position requires strong technical knowledge of building systems, materials, installation standards, and repair methodologies. The Project Coordinator ensures work is accurately scoped, efficiently executed, and properly documented.
Primary Job Responsibilities:
Field Support – Maintenance Operations
- Conduct on-site assessments for maintenance work requiring field review, measurements, or technical evaluation.
- Provide technicians with product knowledge, installation standards, and troubleshooting support.
- Assist with material selection, sourcing, and confirmation of suitability for specific applications.
- Perform quality control inspections on completed maintenance work.
- Document field conditions, capture photos, and update work orders and notes.
- Support clear field communication by confirming job scopes, notes, and expectations.
Field Management – Construction & Renovation Projects
- Support the Construction Manager by overseeing assigned construction or renovation projects in the field.
- Conduct site walkthroughs; coordinate subcontractors; and monitor daily progress to ensure adherence to scope, schedule, and quality standards.
- Confirm permit requirements and assist with permit applications or documentation as required.
- Complete material takeoffs, verify availability, and coordinate deliveries with vendors.
- Document progress, issues, and changes, providing regular updates to the Construction Manager.
- Perform deficiency inspections and participate in project close-out activities.
Scoping, Estimation Support & Job Preparation
- Assist with preparing scopes of work, field notes, and photos to support accurate quoting.
- Provide technical guidance to the Maintenance Manager and Construction Manager on complex or non-standard jobs.
- Identify risks, material requirements, and potential challenges prior to job start.
- Review drawings, sketches, and client requirements to support effective job planning.
- Assist with procurement activities, including material selection and cost verification.
Scheduling, Communication & Coordination
- Coordinate directly with Technicians, Property Managers, and external contractors regarding field activities.
- Attend maintenance and construction field meetings and office meetings as required.
- Communicate field findings promptly to office staff to support billing, work order updates, and follow-up actions.
Quality Control, Compliance & Safety
- Ensure work is completed in accordance with company standards, client expectations, and applicable codes.
- Conduct safety observations and ensure proper field procedures are followed.
- Identify and report hazards, deficiencies, or recurring issues to management.
- Support safety documentation, toolbox talks, and continuous improvement initiatives.
Key Competencies:
- Strong working knowledge of building systems, including mechanical, electrical, plumbing, and general building envelope components.
- Solid understanding of construction methods, renovation practices, and maintenance repair standards.
- Ability to interpret drawings, sketches, scopes of work, and technical documentation.
- Proficiency in conducting site assessments, measurements, material takeoffs, and quality control inspections.
- Ability to identify risks, anticipate issues, and recommend practical solutions before work begins.
- Superb communication skills, both written and verbal, with a focus on customer service.
- Superior time management with the ability to prioritize and multitask.
- Leadership mentality coupled with accountability, ownership, and sound judgement.
- Proficiency with MS Office, but the ability to learn new software with ease.
Education and Skills:
- Post-secondary education in Construction Management, Building Systems, Engineering Technology, Facilities Management, or a related field is preferred. A combination of relevant education and equivalent hands-on field experience will be considered.
- Minimum 3–5 years of experience in building maintenance, construction, renovations, or a related field environment.
- Experience working in a field-based coordination or supervisory role is considered an asset.
- Familiarity with property management or maintenance management software (e.g., Yardi) is an asset.
- SCOT training would be an asset.
- Valid Class 5 driver’s license
