As a company in the process of expanding our team, we are looking for an Administrative Associate to contribute to our continued growth and success.
Overview:
The Administrative Associate is responsible for the day-to-day administrative operations of the office, ensuring everything runs smoothly, efficiently, and in an organized manner. This role serves as the first point of contact for incoming communications and plays a key part in maintaining structure, responsiveness, and overall office functionality. The ideal candidate is highly organized, detail-oriented, and takes pride in keeping things in order. Responsibilities include:
- Manage all incoming calls and emails, responding where appropriate and directing inquiries to the relevant team members
- Maintain and organize physical and digital filing systems, including ongoing document management and upkeep of the filing room
- Perform administrative duties such as filing, copying, scanning, and document preparation with accuracy and attention to detail
- Support general office operations, including managing boardrooms, coordinating cleaning, and ensuring the office is presentable and functional at all times
- Oversee office supplies and equipment, including ordering, restocking, and coordinating maintenance (e.g., printers, coffee machines, water, etc.)
- Help prepare internal documents, reports, and presentations as required
- Take ownership of administrative processes, ensuring consistency, follow-through, and a high standard of organization
- Provide additional administrative support to the team as needed
Qualifications/Experience:
- At least two years of office administration and filing experience is required.
- Demonstrate strong spoken and written English communication skills with excellent reading comprehension and the ability to articulate ideas clearly and effectively.
- Proficient in MS Office and Outlook
- Post-secondary education/courses in related fields are considered an asset
